We’re looking for an impact-driven Office Manager with a strong operational mindset to join our team in Chișinău, Moldova. As our Office Manager, you will play a critical role in managing and overseeing the day-to-day operations of our local office, ensuring a productive and welcoming environment for all team members. This position is based in Chisinau, where a hybrid work model is available. While some remote flexibility is possible, we are looking for someone who can be regularly present in our central Chisinau office to lead on-site operations and maintain a strong in-person culture.

What You’ll Do
  • Oversee daily office operations to maintain a smooth, well-equipped, and efficient workplace.
  • Manage vendor relationships and coordinate procurement of supplies, services, and equipment.
  • Handle logistics for local team events and office visitors, including travel and workspace setup, supporting a vibrant, collaborative office culture.
  • Liaise with local and US-based system administrators to troubleshoot office tech issues and track and support IT equipment needs.
  • Contribute to safety and risk planning efforts, including fire evacuation procedures and workplace readiness.
  • Maintain organized records, budgets, and internal documentation across operational areas.
What You’ll Need
  • 3+ years of experience in office, facilities, or project management roles.
  • Strong organizational skills and attention to detail, with the ability to adapt to shifting priorities.
  • Proven experience coordinating vendors and managing supplier relationships.
  • Excellent communication skills, collaborating effectively across teams and with internal and external stakeholders.
  • Fluency in Romanian and Russian; Intermediate+ English for daily written and verbal communication.
  • Comfortable working with spreadsheets, internal tools, and shared drives to track budgets, equipment, and records.
  • Proactive and solution-oriented, with a bias for action and sound judgment
  • Familiarity with basic finance support tasks (e.g. invoice tracking, reimbursements, petty cash) is a plus.
  • A strong sense of ownership and pride in maintaining a smooth, well-run office environment.
