Project Assistant / Coordinator

Job Description
R Systems is searching for a Junior Project Assistant/Coordinator to join our team of innovators!

Key Responsibilities:
Resource Management & Onboarding

  • Collaborate with HR to define job profiles, review CVs, and conduct candidate interviews alongside technical experts.
  • Manage candidate presentation to clients: provide recommendations, coordinate interviews, and gather feedback.
  • Oversee onboarding for new employees, including training plan development and scheduling of initial ramp-up activities.

Team & Performance Coordination

  • Lead monthly and weekly recurring team meetings; drive agenda and ensure action item completion.
  • Track and follow up on daily tasks and blockers with team members.
  • Ensure timely and accurate timesheet completion, assist team members when needed.
  • Regularly collect and respond to client feedback related to team performance and service delivery.

Project Reporting & Communication

  • Manage the preparation and submission of the Weekly Work Report: ensure team members complete inputs on time and with the required level of detail.
  • Coordinate internal and external communication related to progress reporting and task alignment.
  • Provide Support in maintaining project tools and analysis of project data and reports.
  • Provide liaising support between Project Team Members and Internal Stakeholders.

Continuous Improvement & Development

  • Develop and track Improvement Plans based on client or team feedback, as well as your own performance observations.
  • Engage with individual team members to identify opportunities for development and address recurring challenges.
  • Drive proactive service improvement initiatives to enhance team effectiveness and project outcomes.

Key Attributes

  • 1-2 years of experience in a similar role
  • Organized, detail-oriented, and steady under pressure.
  • Clear and professional communicator.
  • Reliable, accountable, and consistent in follow-ups.
  • Proactive about spotting issues and helping move them forward.
